Henkilötietojen käsittelyn tarkoitus ja oikeusperuste
Henkilötietoja käsitellään Rekisterinpitäjän ja rekisteröidyn välisen sopimuksen täytäntöönpanemiseksi sekä soveltuvin osin rekisteröidyn antaman suostumuksen perusteella tilausten, ilmoittautumisten, jäsenyyden, yhteydenottojen, asioinnin, markkinoinnin, raportoinnin ja muiden asiakkuuden hoitamiseen liittyvien toimenpiteiden yhteydessä ja mahdollistamiseksi.

Rekisterissä käsiteltäviä ilmoittautumis-, tilaus-, osto- tai muita asiointitietoja sekä sijaintitietoja voidaan käyttää myös profilointiin ja markkinointitoimenpiteiden sekä asiakasviestinnän kohdentamiseksi rekisteröityä kiinnostavaksi. Henkilötietoja käsitellään myös uutiskirjeen lähettämisen, tapahtumiin sekä muihin markkinointitoimenpiteisiin osallistumisen yhteydessä.

Käsittelyä voidaan suorittaa joidenkin tapahtumien osalta myös Rekisterinpitäjän oikeutetun edun  toteutumisen takaamiseksi. Mikäli rekisteröity ei toimita pyydettyjä tietoja siltä osin kuin tiedot liittyvät kyseessä olevaan ilmoittautumiseen, Rekisterinpitäjä ei voi ottaa vastaan rekisteröidyn ilmoittautumista eikä sitoutua tapahtumaan osallistumista tai muuta tarkoitusta koskevaan rekisterinpitäjän ja rekisteröidyn väliseen sopimukseen.

Henkilötietojen säilytysaika
Henkilötietoja säilytetään niin kauan kuin on tarpeen rekisteröiden tekemän ilmoittautumisen ja siihen liittyvän tapahtuman, laskutuksen tms. mahdollistamiseksi. Tiedot poistetaan kun  Rekisterinpitäjän määrittelemä edellä kuvatun tarpeen aiheutama säilytysaika on kulunut.

Rekisterin henkilöryhmät sekä tietosisältö ja henkilötietoryhmät
Henkilöryhmät, joiden tietoja voidaan käsitellä ovat Rekisterinpitäjän ilmoittautumislomakkeella tietonsa syöttäneitä tapahtumaan osallistujia, tilaajia, jäseniä tai muuten markkinointiluvan antaneita.

Rekisterissä voidaan käsitellä ilmottautumislomakkeen käyttötarkoituksesta riippuen erilaisia osallistumisen, tilauksen, jäsenyyden tai laskutuksen hoitamiseksi tarpeellisia tietoja, muun muassa ilmoittautuneen etu- ja sukunimi ja yhteystiedot. Rekisteröidyn itsensä syöttämät ilmoittautumistiedot saattavat sisältää mm. seuraavia tietoja:

• sähköposti
• puhelinnumero
• osoite
• syntymäaika
• allergiatiedot
• laskutustiedot

Säännönmukaiset tietojen luovutukset
Rekisteritietoja voidaan jakaa organisaation sisällä, sekä tapahtuman sidosryhmien kesken. Lisäksi rekisteritiedot siirretään määritellylle henkilötietojen käsittelijälle.Tietoja ei siirretä EU:n tai ETA:n ulkopuolelle.

Rekisterin suojauksen periaatteet
Ilmoittautumislomakkeen lähettäminen on SSL-suojattu.  Ilmoittautumisjärjestelmän käyttämät palvelimet sijaitsevat Suomessa.Tietoja säilytetään teknisesti hyvin suojattuina. Fyysinen pääsy tietoihin on estetty kulunvalvonnan, sekä muiden turvatoimien avulla. Pääsy tietoihin vaatii riittävät oikeudet ja tunnistautumisen. Luvaton pääsy estetään myös mm. palomuurien ja teknisen suojautumisen avulla. Rekisteritietoihin pääsee käsiksi ainoastaan rekisterinpitäjä ja erikseen nimetyt tekniset henkilöt. Vain nimetyillä henkilöillä on oikeus käsitellä ja ylläpitää rekisterin tietoja. Käyttäjiä sitoo vaitiolovelvollisuus.

Rekisteritiedot varmuuskopioidaan turvallisesti ja ne ovat palautettavissa tarpeen tullen. Tietoturvan taso auditoidaan toistuvin väliajoin joko ulkoisen tai sisäisen auditoinnin avulla.

Rekisteröidyn oikeudet
Rekisterissä olevalla  henkilöllä on oikeus muun muassa:

• pyytää Rekisterinpitäjältä pääsy häntä itseään koskeviin henkilötietoihin sekä oikeus pyytää kyseisten tietojen oikaisemista tai poistamista taikka käsittelyn rajoittamista tai vastustaa käsittelyä sekä oikeutta siirtää tiedot järjestelmästä toiseen;
• tarkastaa ja tarvittaessa saada korjattua mitä tietoja hänestä on rekisterissä. Pyyntö tulee suorittaa kirjallisena rekisterin pitäjälle. Rekisterin henkilöllä on oikeus muutoksiin niissä tiedoissa, jotka hänestä on kirjattu virheellisesti rekisteriin
• niiltä osin kuin henkilötietojen käsittely perustuu rekisteröidyn suostumukseen oikeus peruuttaa suostumus milloin tahansa tämän vaikuttamatta suostumuksen perusteella ennen sen peruuttamista suoritetun käsittelyn lainmukaisuuteen
• tehdä valitus henkilötiedon käsittelystä valvontaviranomaiselle

Purpose of the processing of personal data and legal basis for the processing
Personal data is processed for the implementation of the contract between the data controller and the data subject and, where applicable, based on the consent given by the data subject in connection with orders, enrolments, membership, contacts, transactions, marketing, reporting and other measures related to managing and enabling the customer care.

Enrolment, order, purchase or other transaction data and location data processed in the register can also be used for profiling, in order to target marketing measures and customer communication to be interesting to the data subject. Personal data is also processed in connection with sending the newsletter and participating in events and other marketing measures.

Processing can also be carried out for some transactions to guarantee the realization of the legitimate interest of the controller. If the data subject does not provide the requested information insofar as the information is related to the enrolment in question, the controller cannot accept the  data subject's enrolment and cannot commit to an agreement between the controller and the data subject regarding participation in the event or other purpose.

Data retention period
Personal data will be stored as long as necessary to enable the data subject's enrolment and the related event, invoicing, etc. The data will be deleted when the retention period determined by the data controller due to the need described above has expired.

The register's personal groups and data content and personal data groups
The groups of people whose data can be processed are event participants, subscribers and members who have entered their data on the data controller's enrolment form or persons who have otherwise given marketing permission.

Depending on the purpose of use of the enrolment form, the register can process various information necessary to handle participation, order, membership or invoicing, such as first and last name and contact information of the data subject. The enrolment information entered by the data subject may include e.g. the following data:

• email
• telephone number
• address
• date of birth
• allergy information
• billing information

Information provided by the data subject.

Regular disclosures of data
Register data can be shared within the organization, as well as among the stakeholders of the event. In addition, the register data is transferred to the specified personal data processor. Data is not transferred outside the EU or EEA.

 

Protection of data
Sending the enrolment form is SSL protected. The servers used by the enrolment system are located in Finland. The data is kept technically well protected. Physical access to data is prevented by means of access control and other security measures. Access to data requires sufficient rights and identification. Unauthorized access is also prevented e.g. by using firewalls and technical protection. The register data can only be accessed by the controller and specially designated technical persons. Only designated persons have the right to process and maintain the data in the register. Users are bound by the obligation of confidentiality.

The data is backed up securely and can be restored if necessary. The level of data security is audited at frequent intervals either by external or internal auditing.

Rights of the data subject
The data subject has the right, among other things:

• to request access to the personal data concerning him/her from the controller as well as the right to request the correction or deletion of the data in question or restricting processing or objecting to processing as well as the right to transfer information from one system to another.
• to check and, if necessary, have the information about him/her corrected in the register. The request must be made in writing to the controller. The data subject has the right to make changes to the information that has been incorrectly entered in the register about him/her.
• to the extent that the processing of personal data is based on the consent of the data subject, the right to withdraw consent at any time without this affecting the legality of the processing carried out on the basis of consent before its withdrawal.
• to file a complaint about the processing of personal data to the supervisory authority.
